Return to Parish Community

SUMMARY:

Motion passed to adopt minutes from January 3rd meeting.

Reports to Pastoral Council from standing Committees.

Further discussion and consensus on Capital Campaign.

ANNOUNCEMENTS:

Next Pastoral Council meeting is Wednesday, March 7, 2007.

Shrove pancake supper is Tuesday, February 20, 2007.

Golf tournament scheduled for August 22, 2007.

Call to order: Cathy called the meeting to order at 7:30 pm and led us in an opening prayer.

VERIFICATION OF QUORUM:

Roll Call: The following PC members were present: Holly Holderby,

Steve Morris, Eris Rodriguez, Cathy Timmer, Tim Troy; Fr. McCain and

Patrick Reeder (ex-officio members).

Adoption of Minutes of Previous Meeting: Cathy made a motion to approve the minutes of the previous meeting. Steve seconded the motion and all were in favor.

MATTERS OF INTEREST: Al Shirley reported to the PC regarding the current financial standing of the parish. He presented the Profit & Loss budget performance for the Church. Al reported that the finances actually looked like they were ahead, but that was mainly due to the stained glass fund. The parish was short on the 2006 Archdiocesan Annual Appeal by $12,000. As of current, the expenses are within budget and if we remain within the budget, we should break even. That does not include any extra monies for the parish at large such as improvements or repairs.

Should interested parishioners wish to review the Profit & Loss Budget Performance, they may contact Al Shirley at the rectory, or contact members of the Finance Board Committee.

Committee Reports:

Communications Committee: Kris Wiley reported that Olan Mills would again do the photographs for the new directory in April. They will make the appointments and do the reminder calls. Kris has updated the picture frames in the front vestibule. Joe Corby has updated the website, reflecting the new Pastoral Council members. He has also added the Sunday bulletin. Works in progress will be to list altar servers, lectors and Eucharistic ministers. Future items of interest could be baptisms, weddings and memorial services.

Kris has contacted all of the parish organizations asking them for an update of their officers and a monthly status report on upcoming events, so that these could be included in the parish website.

Fr. McCain, at this time informed the PC that Charlie Freeman has been working on the project of transferring all sacramental records of the parish since 1892 onto computer disc.

With a couple of volunteers, this project is a very valuable endeavor for our Church.

Youth Committee: Tim Troy and Steve Morris presented the PC with the overview and position description for the OLL Coordinator of Youth Ministry. The position description has been blessed and approved by Fr. McCain, is currently in circulation and hoped that the candidate will be in employ by July of this year. Tim and Steve reported that the annual golf tournament, which benefits the OLL Youth Ministry, is scheduled for August 22nd. Steve reported that he had set a leadership team with the youth group in preparation for their upcoming retreat this weekend. They will then have a review of the retreat. The next youth Mass will be on the first Sunday, March 4th.

The PC commended Tim and Steve on their very big accomplishments.

Christian Enrichment Committee (CEC): Bob Cretti reported that the Committee had met in November and January to discuss activities for 2007. They have designed a survey that will be conducted among organizations of the parish for input on topic suggestions and preferred meeting times. Current plans are an Evening of Prayer workshop, scheduled for Wednesday, March 21st at 7:30 pm. The CEC has been approached to combine with the Spiritual Growth Committee, becoming one Committee.

Spiritual Growth Committee: This Committee is currently inactive.

Community Formation Committee: This Committee has not met in many months. Cathy spoke with Larry Mazzotta, who said that he was willing to help on this Committee, but not Chair or spearhead the Committee.

(Ad-Hoc) Parish Hall Committee: Carol Jacobsen reported that Angela McDuffee completed training and is now a Certified Food Handler, which satisfies the requirement of the Marin County Environmental Health Department. Carol said the various organizations and user groups have been most cooperative with the newly established procedures for keeping the kitchen clean. There have been no complaints about the kitchen being left dirty. Carol said that her Committee is looking forward to working with Patrick Reeder, new Administrator of OLL.

Reports of Officers and Other OLL Boards:

Chair: Cathy reminded the PC of the upcoming Knights Valentine Breakfast.

Vice Chair: No report

Secretary: Holly reported that one of the parishioners, Carolyn Mueller, had the idea of starting a Lenten Book Club. Fr. McCain was informed and he approved.

Stewardship: No report.

Hispanic Directiva: Carmen Chalfant contacted Cathy regarding the upcoming multiple wedding, which has been a ministry of the Directiva, encouraging couples to the commitment of marriage and family within the Church. Carmen asked for any donations of flowers to decorate the Church and any volunteers to assist at the reception that will follow the ceremony in the hall.

Finance Board: Bill Stewart will be speaking at Masses this weekend regarding the Archdiocese Annual Appeal – AAA. Bill will be explaining the necessity of total participation from the parish, to meet our required assessment.

School Board: No report. Fr. McCain said that the Crab Feed was very successful and very nice.

NEW BUSINESS

The Shrove Family pancake supper will be Tuesday, February 20th.  This traditionally precedes and begins the Lenten Season. The Knights will prepare the meal.

OLD BUSINESS

Fr. McCain, Patrick Reeder, Tim Troy and Dan Kelly, met with Luchetti Construction Company, toured the facilities and discussed plans for construction of a new school, upgrade of the hall, reconfiguration of existing buildings, repaving and lighting the parking lot, landscaping, fences, minor cosmetics for the convent and Church. Along with the endowments that Fr. McCain desires of one million for the parish and one million for the school, it was estimated that the target amount for the Capital Campaign was 15 million dollars.

Eris Rodriguez and her husband have offered to assist in plans and conceptual drawings.  They are not licensed contractors, but work for a contracting firm and can assist in preliminary drawings, saving the parish money. The PC thanked Eris for her generous offer.

Fr. McCain spoke of the AAA fund and said to meet our assessment this year, each family would need to contribute $300.00.

At this time, a motion was made to extend the meeting by 15 minutes and was approved.

FROM THE PASTOR

Fr. McCain informed the PC that he would indeed be returning to Italy to complete his studies and degree. He asked that the PC carry on with the work at hand in his absence.

COMMENTS FROM COUNCIL MEMBERS

The PC members agreed that before a Capital Campaign could begin, a master plan would be needed to present to the parish.

It was also of consensus that the assistance of an outside company, dealing specifically in Capital Campaigns would more than likely be needed.

Eris said that we needed conceptual drawings and plans to present to the construction company.

The PC may need to form another committee specifically for fund raising.

The meeting was adjourned at 9:15 pm and closed with a Hail Mary, asking Our Lady of Loretto to intercede for us.

Respectfully submitted,

Holly Holderby, Secretary
